Toolbox — Maintenance Reporting

These Terms govern the use of the Toolbox maintenance-reporting service — the mobile apps, the manager dashboard, and the related hosted services (together, the “Service”), operated by Craftly Apps (“we”, “us”). By subscribing to or using the Service you agree to these Terms.
1. The Service
Toolbox lets a property's staff report maintenance issues (including photos), automatically organises those reports, and gives maintenance crew and managers tools to track, action, and report on that work. The apps are designed to work offline and synchronise when a connection is available.
2. Accounts and passwords
- Access is controlled by passwords and accounts the subscribing property administers (reporter password, maintenance-crew password, and manager accounts). The property is responsible for who it shares these with and for removing access for people who leave.
- You must not share credentials outside your organisation, attempt to access another property's data, or probe or disrupt the Service.
3. Subscription and billing
- The Service is billed as a subscription of $99 CAD per month, per property, plus any applicable taxes, processed by Stripe. Prices may change with at least 30 days' notice before your next billing period.
- You can cancel at any time via the billing portal; cancellation takes effect at the end of the current billing period. Except where required by law, payments already made are not refunded.
- If payment fails, we allow a grace period. After it, the Service may pause the creation of new reports until payment resumes; existing data remains accessible for export for at least 60 days.
4. Your data
- The subscribing property owns the content its people put into the Service — reports, notes, photos, and derived records ("Customer Data").
- We host and process Customer Data only to provide the Service (see the Privacy Policy for details, including AI-assisted filing of report text).
- Managers can export records at any time (CSV/PDF/Excel). On termination, we will make a final export available on request for 60 days, after which data may be deleted.
5. Acceptable use
The Service must not be used to store unlawful content, to upload content you have no right to share, to attempt to breach security or rate limits, or for any purpose other than maintenance operations of the subscribing property.
6. Availability and support
We aim for high availability but the Service is provided "as is" and "as available", without warranties of any kind to the extent permitted by law. Planned maintenance and third-party outages (hosting, push-notification, email, or payment providers) can interrupt the Service. Support is provided by email at [email protected].
7. Limitation of liability
To the maximum extent permitted by law: (a) neither party is liable for indirect, incidental, or consequential loss; and (b) our total aggregate liability arising out of or relating to the Service is limited to the subscription fees you paid in the 12 months before the event giving rise to the claim. Nothing in these Terms excludes liability that cannot be excluded by law, including under the Australian Consumer Law.
8. Termination
You may stop using the Service at any time. We may suspend or terminate access for material breach of these Terms (including non-payment) after reasonable notice where practicable. Sections 4, 7, and 9 survive termination.
9. General
- These Terms are governed by the laws of Australia. Disputes are subject to the courts of Australia, unless mandatory local law provides otherwise.
- We may update these Terms; material changes will be notified via the dashboard or email at least 14 days before taking effect. Continued use after that constitutes acceptance.
- If any provision is unenforceable, the remainder stays in effect.
